Sometime between late August and late September 2026, Microsoft Teams will start doing something inside your tenant that no one at your institution asked it to do: for qualifying meetings, it will quietly generate an AI archive and keep it for five years by default. Not every meeting is affected, and administrators can turn the whole thing off, two facts we will pin down shortly. But the behavior is on by default, and that is what makes it a decision. The upside is real. These archives give Microsoft 365 Copilot and its Facilitator agent durable memory of what was discussed, so your loan officers, compliance staff, and executives can ask Copilot about a decision made three meetings ago and get a grounded answer instead of a shrug.
The catch is that this productivity feature also creates a brand new class of retained, potentially discoverable content, and it arrives switched on by default rather than by a decision you made. For banks, credit unions, and mortgage companies, a stored summary of what people said in a meeting about a loan, a member relationship, or a board vote can be a discoverable record from the moment it exists, depending on what it captures. Examiners, litigators, and your own records-retention schedule will not care that an AI wrote it.
The change is announced in Microsoft 365 Message Center post MC1429018 (Roadmap ID 558933), and the good news is that Microsoft gives administrators the controls to govern it. The window to make those decisions is short, and the defaults are not the ones a regulated institution would pick. This guide walks through exactly what is arriving, what Microsoft Purview does and does not cover yet, and the specific decisions to make before the feature turns itself on.
What Microsoft Teams Starts Doing by Default
Microsoft describes the purpose plainly. An AI archive is "an AI-generated artifact that condenses the essential knowledge from a meeting's discussion and metadata so Facilitator, Copilot, and other downstream AI systems can ground their reasoning without storing raw user content." In practice, that means Copilot can keep answering questions about a meeting long after the transcript is gone. For a mortgage team reconstructing why an exception was granted, or a credit union documenting a board discussion, durable meeting memory is a genuine productivity gain.
What changed in MC1429018 is the word "default." AI archive generation is turned on for every tenant, and Microsoft is explicit that it "can't be turned on for only a subset of users." Once the rollout reaches your tenant, an archive is created automatically whenever three conditions line up in a single meeting:
There are built-in exclusions worth knowing. Microsoft will not create an archive for meetings that carry a sensitivity label with encryption, meetings protected with end-to-end encryption, or meetings where copying and forwarding are restricted. That means the sensitivity labels your institution already applies to confidential material do double duty here, suppressing the archive for your most sensitive conversations. For banks, credit unions, and mortgage companies that have invested in Microsoft Purview sensitivity labels, that is a control you already own.
What a .meeting File Is, and What It Is Not
The archive is stored as a file with the .meeting extension, and understanding its contents is the difference between an informed decision and a panic. Microsoft is careful here: the file "includes meeting metadata, such as the meeting title and date, as well as a summary of the key insights and meeting discussion." Critically, "no raw user data or transcript excerpts are stored in the AI archive, only AI-generated content." It is a synthesis, not a wiretap.
That distinction matters, but it does not make the file harmless. An AI-generated summary of what a lender and a borrower discussed is still a record of that discussion, and its very fluency can make it more consequential in a dispute than a raw transcript, because it reads as a tidy conclusion rather than a messy exchange. The file is also not something your users can touch. Microsoft states the archive "isn't visible or accessible by users in your organization"; only Copilot, Facilitator, and other Microsoft AI tools read it, and users "can't open or view the archive file directly." It cannot be moved, renamed, or modified.
An AI summary of a lending conversation is still a record of that conversation. Its fluency makes it more consequential in a dispute, not less.
Where the file lives is the part most administrators miss. Archives are built on SharePoint Embedded and stored in what Microsoft calls "Teams-owned Microsoft 365 File Storage Containers." SharePoint Embedded is an API-only document store: a dedicated storage partition that sits inside your Microsoft 365 tenant boundary but is managed entirely by the Teams service, not by your SharePoint administrators. The first archive creates a container; later archives reuse it or spin up new ones. These containers are dedicated to archive files and hold nothing else, and for multi-geo organizations the file lands in the meeting organizer's preferred data location.
Why This Matters for Financial Institutions
SharePoint Embedded means the archive is genuinely yours (it never leaves your tenant boundary) but it does not appear in the SharePoint sites your records team browses. You cannot find a .meeting file by clicking through a document library. Reaching it for retention, hold, or export runs through Microsoft Purview and, for a specific archive, through a Teams admin PowerShell command that returns the container URL. That is a new operational muscle for most records and compliance teams.
The Five-Year Default Nobody at Your Institution Chose
Here is the number that should drive a conversation before the rollout: the default expiration for archive files is five years, or 1,825 days. Administrators can change it in the Teams admin center, but until they do, every AI meeting archive your tenant generates is set to live for half a decade. When an archive expires, it is deleted and Copilot can no longer use it to answer questions. Microsoft's own guidance nudges in one direction only: it "recommends setting longer default expiration times to enhance Facilitator and Copilot's functionality."
For a productivity team, longer retention is better memory. For a regulated institution, retention is a governance decision with two sharp edges. Keep records longer than your schedule requires and you expand the surface area of everything discoverable in litigation or examination. Keep them shorter than a regulator expects and you have a preservation failure. A vendor-selected five-year default, tuned for Copilot's usefulness rather than your records schedule, is unlikely to match either edge by accident. What Microsoft Purview Covers, and the Gaps That Remain
The reassuring part of Microsoft's design is that the governance plumbing already exists. AI archives are not an ungoverned island. Because they sit in SharePoint Embedded, Microsoft Purview can reach them, and the same tools your compliance team already runs apply, with a few asterisks that matter a great deal to banks, credit unions, and mortgage companies.
One clarification resolves an apparent contradiction first. When Microsoft says users cannot open a .meeting file, it means ordinary end users, the people in the meeting. That is a different question from whether your compliance function can reach the content. Through Purview, authorized eDiscovery administrators can search, hold, and export an archive even though no end user can open it directly. The file is closed to your staff and open to your compliance team, which is exactly the posture a regulated institution wants.
On eDiscovery, Microsoft is clear: administrators "can perform eDiscovery searches on all SharePoint Embedded content using the All SharePoint Sites workload," and eDiscovery admins "can perform eDiscovery Hold and Export on archive file content." A specific archive can be targeted using its container URL, which a Teams admin retrieves through PowerShell. On retention, "retention policies on AI archive files are managed in the Purview Data lifecycle management tool," and because archives are "included in SharePoint classic and communication sites, no other configuration is needed to target AI archives with the same retention policy as other SharePoint content." If you already run a Purview retention policy across SharePoint, it can sweep these files in.
One nuance is worth settling before you rely on any of this: three different clocks can touch a single archive. The Teams service expiration, a Purview retention policy, and an eDiscovery hold are separate controls, and Microsoft's public documentation does not spell out which one wins when they disagree about when a file should finally be deleted. Do not assume the five-year timer is the only thing standing between an archive and deletion. Confirm how expiration, retention, and legal hold interact in your own tenant, because that precedence is what an examiner or opposing counsel will probe.
The gaps are where the work lives. Three of them deserve a decision, not a shrug.

Gaps to plan around
Information Barriers are not yet supported on meeting archive files. Institutions that run ethical walls between lending, deposit, trust, and advisory functions cannot rely on IB to segment these archives today.
The archive is not auto-deleted when the transcript or recording is deleted or expired. It survives on its own five-year clock, and survives the organizer's account deactivation.
The default is on and long. Governance is opt-out and pre-tuned for AI usefulness, not for your records schedule.
The Information Barriers gap is the one most likely to surprise a compliance officer. Financial institutions use information barriers to keep, for example, a mortgage origination team walled off from a wealth-advisory team. Today those walls do not extend to .meeting files, so a policy decision (which segments meet under Copilot, and whether AI archiving is suppressed there via the meeting option) has to substitute for a technical control that does not exist yet. Why This Is a Records Decision for Regulated Institutions
Strip away the AI novelty and this is an old problem in new packaging. A new category of retained, discoverable content is about to appear inside your systems. Every recordkeeping obligation your institution already lives under treats content by its substance, not its file extension. An AI summary of a meeting where a credit decision was discussed can be a business record, depending on what it captures and how the institution uses it, and whether a given regulation requires you to preserve it turns on your charter and activities, not on the file format.
Which specific rules apply depends on what kind of institution you are, not every institution is subject to all of them at once. A mortgage company is not a broker-dealer, and a community bank is not a credit union. The common thread is that each regime treats a new discoverable record by its substance rather than its file format.
If your institution has a broker-dealer arm, SEC Rule 17a-4 and FINRA Rule 4511 govern how its books and records are preserved. Credit unions follow the NCUA records preservation program in 12 CFR Part 749. Banks answer to FFIEC expectations for records management and eDiscovery readiness in examination scope. Most depository institutions and money services businesses also carry Bank Secrecy Act recordkeeping duties. A record does not escape whichever of these applies to you because a model wrote it.
None of these regimes has issued guidance naming Teams .meeting files, because the feature is new. That is precisely the risk: a discoverable record class is arriving faster than the rulebooks that will eventually address it, and whichever rules apply to your charter, the institution owns the gap in the meantime.
The examiner's question will not be "did Microsoft build this responsibly." It will be "show me how you govern it." That is the same posture we walk clients through in making Copilot memory examiner-ready: a new AI data class is only a finding if you cannot demonstrate a deliberate policy over it.
The decision in one sentence
Before the rollout reaches your tenant, decide three things on purpose: whether AI archives are generated at all, how long they are kept, and which Purview retention and eDiscovery scope governs them, so that a new record class arrives under policy instead of by default.
The Window to Decide Before Generation Starts
Microsoft built in a runway. According to the Message Center notice (MC1429018), the Teams admin center controls for this feature arrive shortly ahead of archive generation in a given tenant, with Targeted Release running through August 2026 and general availability rolling worldwide from late August into late September 2026. The notice points to roughly a two-week head start between the controls appearing and archives being generated. However short that window turns out to be for your tenant, it is the decision window, so use it in this order.
When the controls land, open the Teams admin center and locate the "AI Memory & Archive" section and its "Allow AI to archive meetings with .meeting file generation" setting. Decide, deliberately, whether generation is on for your institution at all.
Change the default expiration from five years to the period your records-retention schedule actually specifies for meeting-derived records. Do not leave the vendor default in place by inaction.
Confirm your Purview retention policy and eDiscovery configuration reach SharePoint Embedded content, and decide whether AI archives should share your general SharePoint policy or get their own scoped policy via container URLs.
Where information barriers matter, document a compensating control: suppress archiving in walled meetings using the "Only during the meeting" option, since Information Barriers do not yet cover these files.
Record the decision, the settings, and the rationale so the next examiner sees a governed control, not an accident. Store the container-lookup and deletion PowerShell commands with your records team.
None of these steps is exotic, but all five have to happen inside a short window that opens on Microsoft's schedule, not yours, and land on the desk of whoever owns Teams administration, records retention, and eDiscovery at the same time. In most banks, credit unions, and mortgage companies, those are three different people who have never had to coordinate on a Teams feature before.
